POSITION SUMMARY DESCRIPTION:
The Specialist, Administration , Governance & Membership is responsible for the overall coordination of all administrative requirements for the administration and governance committees of the ACR as well as membership and volunteer customer service, specifically through the Director, Administration, Governance & Membership and on behalf of the Executive Vice President, ACR
DUTIES & RESPONSIBILITIES:
Administration & Governance
Provide administrative support for ACR Board of Directors, ACR Executive Committee, ILAR Executive Committee and Administration Standing Committees including Finance, Ethics, Nominations, Pediatrics
Manage the ACR Pediatric Residence Program held in conjunction with the ACR Annual Meeting, including setting meeting agendas, keeping minutes, develop marketing materials, arranging all logistics for the program, on-site meeting management and analyzing program evaluation survey
Serve as the staff liaison for the Pediatric Rheumatology Residence Program Subcommittee and AMIGO the Pediatric Rheumatology Mentoring Program
Update ACR Board of Directors, Committees, and other rosters and email address lists as needed
Order department supplies as necessary, including materials for Board of Directors and committee meetings; Coordinate the order of awards and plaques to be distributed at the Annual Meeting
Review volunteer reimbursement forms submitted by attendees of Board of Directors Executive Committee and Administration Standing Committees including Finance, Ethics, Nominations, Pediatrics meetings
Compile data from online nominations submissions and generate reports for the Committee on Nominations and Appointments
Provide marketing support for ILAR initiatives, ACR membership recruitment, ACR member retention, volunteer recruitment and awards/masters activities including articles and house ad development, website content, creating copy and scheduling email blasts
Develop copy and work with marketing department to update content on ACR and ILAR websites and printed materials related to the ACR Board of Directors Executive Committee and Administration Standing Committees including Finance, Ethics, Nominations and Appointments, Pediatrics
Assist Membership Sr. Specialist, as a staff liaison to members and volunteers regarding requests for assistance, comments, complaints etc.
Be one of the in house experts on all member programs, products, services and benefits as well as ACR bylaws, policies, procedures and functions.
Assist Membership Sr. Specialist to ensure membership notices are accurate and sent in a timely manner
Assist Membership Sr. Specialist to verify membership applications are complete and meet eligibility requirements
Meetings, Special Events and Conferences
Initiate and coordinate the preparation of the agenda for ACR board of directors meetings
Manage the assembling, and distribution of meeting materials for Executive Committee, ACR Nominations, Ethics, Pediatric, and Finance Committee meetings
Manage the process of materials submission for ACR board of directors meetings and ensures all related deadlines are met; ensure consistency between board meeting agenda and materials included in the board books
Coordinate, with the meeting services department, meeting logistics for ACR board of directors, Executive Committee and administration standing committees including Finance, Ethics, Nominations, and Pediatrics meetings. Tasks include coordinating hotel accommodations, off-site dinners, busing, audiovisual, shipping, invoice reconciliation, room set-up, catering, signage, special requests, event security, managing attendance lists, and working with ACR travel agency to arrange group and individual travel arrangements
In collaboration with the meeting services department, plan and execute special events held during the annual meeting (e.g. Volunteer Recognition Dinner, President’s Dinner,et al.). Tasks include creating and sending out invitations, managing attendance lists
In collaboration with the meeting services department, plan and execute ACR Leadership Development Conference and board orientation meetings
Some travel as necessary to fulfill job responsibilities
Any other duties the Executive Vice President, Executive Director, or the Director, Administration, Governance & Membership may assign
Bachelor’s degree along with a minimum of 3 years’ experience in a professional membership association environment
Ability to manage multiple priorities as directed and meet deadlines
Detail-oriented and highly organized
Excellent interpersonal skills with the ability to interact and communicate tactfully and professionally with a wide variety of individuals, including staff, members, vendors, et al
Extensive experience with Microsoft Office, including Access, Online Databases, Excel, PowerPoint, Outlook, and Word
Excellent oral & written communication skills
