The Million Dollar Round Table (MDRT), a prestigious Chicago-area financial services association, seeks a Meetings Manager to join its Meeting Services Department.
The Meetings Manager is responsible for working with various staff teams, direct subordinates and member leaders to achieve results aligned with the organization’s business strategies. This position manages people, projects and work flow within a cyclical time frame. Working with the Meeting Services Director, the Meetings Manager prepares the Annual Meeting budget and submits it to the Finance Committee and Executive Committee for review/approval. As a member of the Meeting Services Department management team, this position cultivates a strong team awareness within the Department with an emphasis on open and frequent communication.
The Meetings Manager's specific responsibilities include the following:
MDRT's Annual Meeting Housing, including negotiating final room block and room rates with each official hotel and executing final rate confirmations 10 months prior to the upcoming meeting;
Preparing and tracking key information from official hotel contracts;
Working with official hotels on adjusting room blocks annually to reflect current MDRT pick-up patterns to avoid attrition;
Contracting and managing overflow hotel room blocks if necessary;
Assisting in Annual Meeting promotion as it pertains to housing content;
Serving as on-site staff point person with housing vendor and hotel contacts;
MDRT's VIP Housing process, creating annual VIP housing target dates and adhering to established deadlines;
Creating and submitting appropriate documents to hotels and the registration/housing vendor to reserve guest rooms and suites for all MDRT VIPs;
Developing and maintaining historical housing information;
Serving as the MDRT Annual Meeting Contract Team Lead, responsible for executing contracts for convention centers and hotels for future Annual Meeting sites as required.
A minimum of 5 plus years of experience in event and conference planning;
A proven track record of success with vendor and sponsor contracts;
Prior experience managing and developing a team;
Strong project and budget management skills;
The ability to multi-task, manage time and resources;
A strategic thinker and effective communicator who is member/stakeholder focused;
A team-oriented and flexible individual capable of seeing the big picture while working on specific assignments;
Bachelor’s degree, or equivalent business experience with progressive advancement, and CMP designation are preferred.
