The American Dental Education Association (ADEA), is seeking to add an experienced Senior Manager of Specialized Application Services, to our team of high-performing professionals.
In this position, you will administer two of four centralized application services for the American Dental Education Association (ADEA) within the Division of Educational Pathways (DEP). You will oversee the ADEA Dental Hygiene Centralized Application Service (ADEA DHCAS) and the ADEA Centralized Application for Advanced Placement for International Dentists (ADEA CAAPID). You will oversee daily and annual operations for these application services in support of overall Association goals and objectives by ensuring timely responses to all constituents and applicants, addressing all constituent concerns with support and training and maintaining regular proactive communication with constituents. Additionally, you will educate applicants and admissions/program officers on upcoming changes to the application services, oversee the work of two Advisory Groups, direct/administer related application services projects and establish an annual calendar and communication plan.
1. Manage ADEA DHCAS and ADEA CAAPID. Responsibilities for each:
Lead daily and annual operations
Establish annual planning process and calendar including dates of application cycles, user trainings and events.
Identify problems and determine solutions, working frequently with technology partner, Liaison International.
Determine, prioritize and test enhancements to each service and oversee the implementation.
Communicate regularly with admissions/program officers, serve as point of contact for concerns about the services.
Provide updates at ADEA meetings and at specific schools/programs, as needed.
Provide admissions/program officers with data from the application cycle on a regular basis along with an annual summary report.
Gather data and information about potential applicants, the community and trends in the profession and develop updates based on findings.
Respond to applicant inquiries.
Respond to user’s requests with timeliness and interest, developing professional credibility and trust with admissions/program officers.
Train users and applicants
Provide training on applicant portal and WebAdMIT.
Design and implement resources for applicants annually.
Serve as liaison for technical support.
2. Design, implement and update website content for ADEA DHCAS and ADEA CAAPID.
Update instructions annually and other pertinent information on an as-needed basis.
Contribute new and relevant content to ADEA GoDental.
3. Serve as liaison to ADEA CAAPID Advisory Group, ADEA DHCAS Advisory Group, and related committees.
Establish membership, plan meetings and provide support for each Advisory Group.
4. Contribute to projects in the Division of Educational Pathways (DEP) as they relate to dental hygiene and advanced standing program admissions
Participate in the annual Virtual Fairs hosted by DEP.
Develop written and electronic materials about ADEA DHCAS and ADEA CAAPID.
Six Month Goals
Participate in basic and advanced WebAdMIT trainings. Become familiar with Visual Analytics.
Draft ADEA DHCAS enhancements and prioritize with Advisory Group.
Complete test applications in all four services to identify areas for improvement in ADEA CAAPID and ADEA DHCAS.
A Bachelor’s degree. Equivalent training and/or experience may be considered.
Experience utilizing software and databases.
Proven success in developing and maintaining strong business relationships with users. A successful candidate must be able to balance the needs and expectations of the Association, vendors and related constituents.
Management of multiple high-level priorities in both daily operations and strategic planning simultaneously while also maintaining attention to detail.
Communication of complex ideas clearly, concisely and credibly with applicants, program directors and other constituents, demonstrating the ability to summarize lengthy, complex concepts into the big picture. Must be able to communicate with constituents and vendors at all levels of higher education.
Ability to work in a fast paced, team-based environment, make decisions under pressure and interpret feedback to make appropriate changes to the position workflow. A successful candidate must be self-aware, organized, confident and accountable.
Ability to travel on a limited basis.
Familiarity with admissions, student affairs and/or health professions.
Familiarity with application management software and admissions and application processes.
Technical experience, critical thinking and problem solving while using software and databases.
