Growing North Michigan Avenue membership association seeks a highly motivated and extremely resourceful Executive Assistant with exceptional organization and communication skills to provide support to the Executive Director. The Executive Assistant will perform an array of support activities including:
Manage the ED’s calendar, prioritizing issues to ensure effective time management.
Manage travel logistics (domestic and international) and resulting expense reporting.
Produce schedules and supporting materials for Officers and ED at meetings and conferences.
Provide support for presentations, board meetings, research and analysis and special projects.
Be the first point of contact, handling incoming calls, messages, and appointment requests.
Coordinate and facilitate the board policy manual and governance functions.
Create and proof correspondence including letters, memos and reports as required.
Ensure operation of equipment by maintaining equipment inventories.
Coordinate IT functions and support.
Support human resource functions, including maintaining employee handbook, scheduling interviews, onboarding of new staff and planning employee activities.
Interacting with the Academy’s leadership.
Maintaining complete confidentiality of sensitive information.
Plus, an array of other administrative tasks.
Required Education, Experience and Skills:
An understanding of non-profit member focused organizations and a high degree of awareness of the value, purpose, culture and mission of not-for-profit organizations
Exceptional attention to detail and highly organized
5+ years solid experience supporting a busy executive preferably in a service-driven membership organization;
Baccalaureate degree preferred
Project coordination experience
Expert level written communication skills
High degree of tact, diplomacy and confidence to interact with senior leaders and the ability to exhibit diplomacy, tact and remain calm while still advancing tasks
Excellent written and oral communication skills
Technical Skills –Exceptional MS office skills including Outlook, Excel, PowerPoint, Teams and experience using other technologies (e.g. GoToMeeting, Doodle)
