Who we are looking for:
The American Society of Clinical Oncology (ASCO) has an exciting opportunity for a highly motivated and enthusiastic Program Manager, Housing and Meeting Contracts with strong project management skills who will oversee all aspects of the hotel reservation process for the Annual Meeting, Symposia, International Meeting, and Best of ASCO Meetings as well as administer the department contract process.
What you will do:
Manage the hotel reservation vendor to ensure a quality hotel experience for all meeting participants, including individual attendees, group attendees, VIPs, exhibitors, supporters, media, staff, and vendors.
Oversee all aspects of the hotel reservation process, including contracting for hotel rooms, managing rooms within the block, creating and monitoring online reservations and websites to include the amenity program and VIP transportation while ensuring exceptional customer service.
Ensure the efficiency and accuracy of all hotel reservation statistics and data, including but not limited to online and weekly reports as well as final reports and develop housing and travel revenue and expense budgets for all meetings.
Create, implement, and oversee hotel reservation timelines for all meetings and communicate and emphasize timelines with vendors and staff.
Manage the process of editing ASCO publications involving hotel reservation text and external correspondence to meeting attendees, including confirmations and reminder emails.
Collaborate with other ASCO departments while managing the onsite ASCO staffing request process for all meetings.
Manage the meetings contracting process, working collaboratively with department team members to negotiate, review, and execute all vendor and event site contracts and interacting diplomatically with the legal team and vendors during the negotiation process
Co-manage a Program Associate to support the areas of Registration and Hotel Reservations.
What you will need in order to be successful:
Minimum 5-7 years’ experience in program management; hotel experience is a plus
General understanding and familiarity working with contracts
Bachelor’s degree Hospitality, Business, or a related field and having a CMP is preferred
Excellent communication skills - both oral and written - and presentation skills for all levels of audience
Strong technical skills with the ability to embrace and adapt to new technology
Experience developing and managing revenue and expense budgets
Being an outstanding team player with the ability to coordinate people and activities across multiple functional areas
Proven ability to coach and develop staff
Ability to juggle multiple projects and priorities with tight deadlines and limited supervision
Ability to use independent judgment and critical thinking effectively
