The Business Operations Coordinator supports the accounting and operations functions of SFI Inc., and provides office support for the US headquarters office in Washington, DC. Reporting to and working closely with the Business Manager, the Business Operations Coordinator also collaborates with the outsourced accounting team, the Coordinator of Marketing & Events, and the Chief Operations Officer.
ESSENTIAL JOB FUNCTIONS:
Provide administrative support for accounting functions (Approx. 50%)
Manage and respond to all requests in the accounting general email box.
Organize and prepare invoices & expenses reports for accounts payable processing, including overseeing the approval & coding process, ensuring proper support of all expenses. Submit all approved and coded payable items to Bill.com for processing.
Communicate with external vendors & customers to ensure prompt and accurate transfer of financial and organizational data.
Be responsible for collection and management of all receipts on the business credit card.
Follow up on collections of on unpaid accounting receivable items.
Assist with the annual financial audit.
Manage the financial filing system.
Manage vendors and service providers (Approx. 25%)
Manage the following services to ensure efficient and effective ongoing operations:
Email and Shared Documents
Manage email addresses, distribution lists, SecuriSync folder sharing, troubleshoot issues, clean up old accounts, and administer policies.
Assist with organization-wide reorganization of SecuriSync fililng system.
Telephone and Conference Calling
Set up new accounts, terminator or repurpose old accounts, troubleshoot issues, train and communicate with staff, and manage subscriptions to ensure we have the appropriate service plan based on usage.
Send timesheet reminders and ensure staff are completing approvals on a timely basis.
Manage year-end rollover.
Addition administration to be determined once new Nexonia service is set up.
IT Helpdesk Service Management
Manage vendor relationship.
Facilitate communicate between staff and service provider.
Provide office support for the SFI Inc. DC office (Approx. 10%)
Serve as first point of contact for the organization. Answer and appropriately screen/direct incoming phone calls, and welcome guests.
Process daily incoming and outgoing mail and all non-event shipments.
Maintain an organized office environment. Manage filing of a variety of documents, anticipate the office needs and place orders for office and kitchen supplies for the 6th and 7th floor offices. Maintain a clean and organized 7th floor kitchen and copy room.
Provide support for other office services and functions as required.
Provide administrative support for organizational compliance & special projects (Approx. 10%)
Manage outsourced work contract execution and filing process.
Working with charitable registration accounting firm, manage the state charitable registrations process.
Support other operations projects as assigned.

B.A./B.S. degree from an accredited university.
Minimum one year of administrative/office experience desired.
Interest or background in nonprofit management, forestry, forest products, natural resources, sustainability, or environmental education a plus.
