Professional Association is seeking a highly organized and detail oriented individual to serve as the Project Assistant in the Membership Department. A successful candidate will have a passion for membership marketing and be customer service focused. The Project Assistant will be the primary point-of-contact for AIPLA membership, and take on the responsibility of responding to member inquiries; processing of information and payments through Abilia’s NetForum, our membership database; and maintaining accurate member data. The Project Assistant will work directly under the direction of the Membership Development Manager and assist with projects and efforts to recruit and retain members.
Member Services: Serve as the primary contact for membership inquiries and respond in a timely, organized and efficient manner. Maintain integrity of AIPLA membership database; regularly update contact information for individuals and employers/organizations. Facilitate group billing preparation and coordinate Corporate Subscriptions as part of the annual renewal process. Assist Membership Development Manager and IT Manager with renewal queries and the distribution of member renewal notices and invoices. Work with the Membership Development Manager and Marketing & Communications Manager to monitor AIPLA in social media and with other marketing efforts.
Marketing Support: Assist with website content updates. Develop, execute and analyze broadcast emails using Real Magnet. Research and generate targeted member and prospect lists for membership and event marketing.
Meetings Support: Assist with set-up and on-site registration as required at three conferences. Staff the AIPLA Membership Booth if needed. Represent AIPLA staff at the New Member/First Time Attendee Reception at AIPLA stated meetings, if needed.
QUALIFICATIONS: Entry level role. Background or experience in marketing and membership or professional/trade association highly desirable. Minimum 1-2 years’ experience in administrative support strongly desired. Proficiency in Microsoft Office programs required. Database familiarity a plus. BA preferred.
SKILLS: Self-starter with attention to detail and excellent customer services skills. Ability to manage multiple projects efficiently and swiftly. Aptitude for communicating effectively verbally and in writing to a diverse range of audiences and in various settings. Must be resourceful, have experience that demonstrates initiative and problem-solving abilities, great work ethic and positive attitude. Word processing skills mandatory. Some travel within the US required.
