The Staff Accountant reports to the Director of Finance and Administration. Maintains and controls the General Ledger accounts and business transactions of the society, applying the Generally Accepted Accounting Principles (GAAP) that includes analytical work and thorough review of financial records.
Assist the Director of Finance and Administration with the day-to-day, monthly and year-end operations of the Accounting/Finance Department.
Processes all bank deposits into the electronic accounting system (QuickBooks). Reconciles all deposits using monthly bank and merchant statements. Reconciles all bank accounts monthly, prepares necessary journal entries into the accounting system. Reconciles all accounts receivable collection functions. Reconciles A/R general ledger accounts between Access and accounting system.
Performs the processing and recording of accounts payable transactions and ensures that all invoices and staff reimbursements are paid accurately and in accordance with Society policies and procedures. Files accounts payable supporting documents and maintains vendor files. Reviews and processes year end 1099’s.
Perform the processing of functional and benefits expense allocations, monthly accruals, amortization of prepaid expenses, fixed assets depreciation and recording of adjusting and reclassification journal entries, if necessary.
Prepares accurate schedules for annual audit process. Assists with coordination efforts to ensure proper and timely preparation of various required filings, including Form 990, and state registrations.
Assists in the budgeting process for the organizations by monitoring and reporting budget variances to appropriate staff. Additionally assists with the projection process for current year’s budget and working with Director of Finance and Administration analyzes forecast for end of year net revenue.
Assist accounting/finance department with data entry of all educational meeting registrations, reporting of attendance, preparing annual meeting registration packets, sending confirmations, and for onsite annual meeting registration.
Performs other duties as assigned by the Director of Finance and Administration.
Bachelor’s degree in Accounting
Five years or more of relevant experience including financial accounting controls, processes and procedures, preferably in a non-profit environment;
Experience with QuickBooks or other Accounting Software
Strong problem solving skills, organizational skills, attention to detail, and ability to work with others
