JOB SUMMARY: Provide a variety of administrative tasks and support to both the Executive and Governance Departments. Will work with the Executive Administrative Assistant and Governance Project Specialist who will train and give direction to daily tasks based on the current priority levels.
Assistance to Executive Administrative Assistant
Check Outlook calendars for staff availability for meetings, events and conference calls
Monitor and accept Presidential conference room scheduling requests in timely manner
Arrange meal reservations and assist with catering orders for meetings
Receive travel expense and credit card receipts and prepare for monthly processing; prepare spreadsheet for credit card statements managing ED’s receipts
Check options for flights and hotels, and may arrange ground transportation and other travel arrangements
Monitor supplies for Executive kitchen and bathroom and order as needed Assist with maintaining up to date document filing 2018 project to clean up files
Assist with ordering general office supplies
Provide general backup administrative support
Other duties that may be assigned

Travel reservation backup

Personify database updates for Board, Board committees and election - copying/adding to spreadsheet.
Website updates (Board, governance, history and election pages)
Election candidate webpages and ballot proof
Print name badges, tent cards and place cards for Annual Meeting and Leadership Orientation Meeting
Annual meeting reserved seat tracking and emails to attendees
Handout copies for Board Meetings and Leadership Orientation n Meeting
Updates to the Board motion spreadsheet after each Board meeting
Data entry, content review.
EDUCATION AND EXPERIENCE REQUIRED (an equivalent amount of training, education and experience will considered)
At least one year, will train
