Work with the Vice President, Industry Relations to ensure all conferences/meetings are executed within budgeted expenses
Additional Responsibilities and Duties:
Create and issue RFPs, evaluate proposals, inspect event facilities and locations to ensure they conform to association requirements
Negotiate contracts with service providers, suppliers, hotels and destination management companies
Develop strong working relationships with IFDA Partner company executives, sponsors and support staff
Monitor hotel room blocks
Maintain records of all event details, including F&B spend and attendance figures
Monitor event activities in order to ensure compliance with applicable regulations and laws as well as participant satisfaction. Resolve any issues that arise
Support event sponsorship sales and fulfillment
Develop and maintain event working-agenda’s that include logistics details
Collaborate with the Director, Education Programs and Engagement, Director, Exhibits and Business Development and Director, Marketing on program details and execution
Coordinate event services, such as participant transportation, facilities, catering, signage, displays, audio-visual and special needs requirements
Review event invoices for accuracy and approve payment
Interact with applicable Planning Council’s to plan the scope and format of events
Conduct post-event evaluations to determine how future events could be improved
Collaborate with President & CEO on Board/Executive Committee meeting logistics
Support share group and executive development programs as needed

Coordinate in house support staff required for event execution
Coordinate on-site association and facility staff at event venues
Knowledge,Skills and Abilities Required:
Excellent written, verbal and interpersonal communications skills
Ability to establish and maintain strong relationships with association members and other constituents
Must be detail-oriented with excellent organizational skills and the ability to multi-task and meet tight deadlines
Must maintain composure, under pressure, in a fast-paced environment
Ability to create and monitor budgets
Ability to negotiate hotel and vendor contracts with a firm understanding of contract details
Education and Experience Requirements:
10+ years meeting planning experience with a record of increasing responsibility
College degree required
CMP designation required
Travel is an essential part of this position. Travel, mostly by air, up to 30% of the time. Travel can be as short as a daily trip or extend up to 6 days. Must be able to work weekends and evenings when necessary.
