The Administrative Assistant in the Policy and Supervision Division will provide direct administrative support to three executives and four major policy setting committees of the CSBS board. Along with normal administrative duties, a considerable amount of time will be spent drafting committee correspondence and surveys, talking with state regulators, coordinating committee meetings, and utilizing our internal communication and database systems.
Success will be defined by the ability to understand the internal policy workflow with the ability to generate written content, edit meticulously, manage a diverse flow of work, proactively anticipate the needs of others, and communicate well with stakeholders. We will count on impeccable organization and attention to detail when managing the arrangements for multiple committees and other meetings, and distribution of correspondence to committees and groups.

Provide general administrative support including scheduling meetings, making travel arrangements, preparing expense reimbursements, word processing, record keeping, fielding incoming calls, arranging conference calls and webinars, performing data entry in a variety of databases, using other office automation tools and services, and create and update reports, exhibits, charts, graphs, etc for: a. Senior vice president, policy
b. Senior vice president, consumer protection and non-depository supervision
c. Senior vice president, bank supervision.
Manage the submission of required documentation for the payment of expenses for all the policy and supervision staff reporting to the 3 senior vice presidents.
Schedule and prepare agendas for the legislative, regulatory, supervisory processes, and non-depository supervision committee meetings (and subordinate working groups or taskforces) and distribute recaps of the meetings.
Coordinate and work collaboratively with representatives from other departments in CSBS regarding general administrative requirements including meeting coordination, research and resolution of interdepartmental issues.
Communicates directly, and on behalf of the Senior level policy and supervision staff with CSBS board members and other internal and external CSBS stakeholders.
Provides a bridge for smooth communication between the internal departments of CSBS; demonstrating leadership to maintain credibility, trust and support with senior management staff.
Coordinate and organize key meetings to include meeting location, hotels, restaurants, travel arrangements, audio visual logistics and meeting materials.
Support the calendar and scheduling needs of the Executives.
Provide reception desk coverage on a rotating basis, for lunch coverage, during absences, and as needed.
May participate on select CSBS committees outside of the policy and supervision area.
Respond to requests for information received via phone or email from CSBS members, banking departments, law firms, federal agencies, and trade associations.
Conduct a variety of research efforts either in response to a request for information or on an ongoing basis to provide current information to Division members.
Coordinate with vendors for printing and production of publications and marketing materials and ordering office supplies.
Support special projects within the Division as assigned.
