Under the supervision and guidance of the Executive Vice President (EVP) of Business Affairs (BA), the Project Manager, Sponsorship and Exhibits formulates, implements, and manages all aspects of communication, sponsor deliverables, and customer service for affiliate memberships and corporate sponsorships. This position provides valuable operational and management expertise within the BA team for sponsorships, exhibits, affiliate memberships, webinars, and other products and programs. Works closely with all BA members to coordinate flow of information, proofs, and provides metrics and reports on sponsorships. Ensures deliverables are met in a timely manner for affiliate organizations and internal and external colleagues.
Operations and Management:
A key day-to-day contact for the sponsors and exhibitors for benefit fulfillment
Provides and executes development strategies to advance BA corporate development and non-dues revenue growth.
Seeks ways to save costs and become more efficient and effective.
Working in conjunction with the EVP of BA, develops key account reports and tools to include coverage of key account contacts, sales tracking information for all initiatives, deliverable status, financial tracking and reporting for all initiatives, and development of new operational tools as necessary to advance association programs.
Continually reviews and prioritizes division processes and communications for potential improvements.
Monitors health care industry vendor and health plan developments and trends and trade association business models to support updating and introducing AHIP programs and products.
Manages all sponsor deliverables.
Provides sound forecasting input on departmental budget figures.
Tracks sponsorship-related department expenditures and manages incoming invoices.
Works in conjunction with the Executive Director of Financial Evaluations and Reporting to review/manage available inventory.
Affiliate Membership Program Support:
Leads the communications, deliverables, and customer service for existing and prospective Affiliate Organizations, Sponsors, Partners, and Select participants.
Maintains up-to-date knowledge about AHIP’s service offerings and products and provides input for sales, marketing, and packaging these offerings.
Facilitates and supports the development of comprehensive AHIP Business Affairs print and electronic promotional materials which includes ordering conference sponsorship materials, marketing of sponsorships, exhibits, affiliate memberships and other products and publications.
Coordinates with the Marketing Department on creating, editing and proofreading trade show presentations, brochures, and other marketing material, as required.
Manages all signage for the Policy, Consumer & Digital Health, and Medicare/Medicaid conferences and coordinates approvals with the Marketing Department.
Collects sponsored speaking session information for all events and facilitates the approval and integration within conference material process.
Coordinates communication between the Education Department and sponsor clients to develop best presentations possible.
Manages sponsored speaking sessions on-site at events along with mobile app and website recognition.
Professionally represents AHIP in communications with Sponsors, Affiliate Organization Members, and Select companies with responsibilities for monitoring and reporting the overall customer satisfaction level.
Establishes exceptional, consultative relationships with solutions provider companies, while maintaining the business relationship.
Establishes and oversees standards for delivering the highest quality, most effective client support services for both internal and external customers.
Assists in promoting Affiliate Organization Membership to prospective members via the phone and in person at AHIP conferences and events.
Performs other duties and special projects as assigned.
Background in logistics for conference exhibits and sponsorships
Possesses exceptional leadership, organizational, communication, and business skills and the capabilities to work with fellow AHIP staff, member health insurance plans, affiliate organization members, and affinity partners in a highly constructive manner.
Possesses ability to problem solve, analyze, brainstorm, think proactively and be flexible within limited timeframes.
Possesses ability to prioritize and maintain workflow for multiple projects and to complete high quality work in a timely fashion.
Thorough knowledge of and experience using advanced office computer applications including Windows-based databases.
Experienced in interacting with all professional levels.
Three years of experience in project management
Three years of experience managing client communications and customer service
2-3 years of experience working in the field of conference logistics as they relate to exhibits and sponsorships
Project Management Professional (PMP) preferred.
Physical Work Activities & Conditions:
Continuous sitting for prolonged periods more than 2 consecutive hours in an 8-hour day.
Keyboard use of greater or equal to 75% of the workday.
