The Senior Meeting Planner is responsible for planning, coordination and execution of ASA’s annual PRACTICE MANAGEMENT™ conference. This position serves as the primary planner for ASA pre-conference, related organization and affiliate events held during the ANESTHESIOLOGY® annual meeting. Manages all convention center food and beverage requirements during the annual meeting.
Responsible for comprehensive event planning of the annual PRACTICE MANAGEMENT conference including future site sourcing, hotel negotiations and contracting, budgeting support, specification development and logistical coordination, onsite execution and post conference reconciliation.
Serve as the project lead for PRACTICE MANAGEMENT providing collaborative leadership to the cross-departmental team of stakeholders to produce a conference that achieves strategic and budgetary objectives while achieving desired participant outcomes.
Responsible for logistical planning and execution of ASA annual meeting pre-conferences, such as the International Forum on Patient Safety and Quality (ISQ) working in collaboration with ASA’s Intersociety Relations Manager.
Plan and execute the food and beverage program for the ANESTHESIOLOGY® annual meeting, including the Grand Opening Reception in the Connection Center, various attendee and staff meals. Serve as the liaison to all internal and external stakeholders and the convention center catering contact to develop and execute this program.
Plan and execute the ASA Residents and Medical Students programming during ANESTHESIOLOGY working in collaboration with the Component Services Specialist.
Monitor expenses and other financials for all areas of responsibility working in collaboration with other departments on expense budgets to meet ASA objectives and goals.
Bachelor’s degree, required. Emphasis on hospitality/meeting management, or related field, a plus.
Minimum 4 years of related experience in meeting planning/logistical coordination. Hotel experience (Convention Services, Catering, Sales and Ops) a plus.
Association (membership organization) experience preferred.
Certified Meeting Professional (CMP) certification a plus.
Demonstrated experience with developing and implementing meeting planning strategies.
Highly developed interpersonal skills, ability to network, and demonstrated high level of confidence and poise with a strong member service orientation.
Demonstrated personal integrity in negotiations with vendors and contractors and in communications with members and staff.
