The Front Office Services and Administrative Assistant maintains the receptionist post as an initial point of contact for all incoming calls, and assists projects in other areas as needed.
Handles incoming telephone calls and general receptionist duties; distributes incoming mail; answers basic inquiries from members; routes telephone calls; takes accurate telephone messages or transfers calls to voice mail; greets visitors.
Works with the Executive Assistant and Office Manager on maintaining and updating programming of telephone system, fax machine, postage machine, and related office systems.
Enters address changes into membership database.
Assists the Communications Department with processing of orders and subscriptions and journal issue fulfillment.
Assists with processing of batches and other tasks as requested.
Serves as proof reader/editorial reviewer for various AAPD publications and documents.
Assists other departments with overflow work as needed and as schedule permits.
At least one year’s comparable administrative experience. Bachelor’s degree preferred. Strong verbal skills, written skills, computer software skills, and sound interpersonal skills are required.
Additional Salary Information: Commensurate with salary for comparable positions in similarly-sized Chicago-area associations, bench-marked from Annual Compensation and Benefits Survey of the Association Forum.
