The American Council on the Teaching of Foreign Languages (ACTFL) is seeking a highly motivated, proactive individual to serve as Office Manager in its headquarters office in Alexandria, VA. The Office Manager is responsible for streamlining administrative procedures, inventory control, and developing intraoffice protocols. Specific duties and responsibilities include but are not limited to the following:
Organize and schedule meetings and appointments.
Prepare and distribute correspondence to staff.
Serve as the point person for building maintenance, supplies, mail/shipping, office equipment, and other vendors.
Manage bi-annual Board of Directors meeting logistics (including taking and transcribing meeting minutes).
Manage multiple email accounts and route messages when appropriate.
Work with HR to maintain internal policy and procedure/HR documents.
Perform general administrative duties such as filing, mail merge letters, PowerPoint presentation preparation, and other duties assigned.
Availability to travel and work at national convention in November
Proven office management, administrative, or assistant experience
Ability to organize, multitask, and prioritize
Excellent communication, writing, and organization skills
Proficiency in Microsoft Office Suite, including Microsoft Word, Excel, and PowerPoint
Familiarity with iMIS database (or comparable AMS) is preferred
