We are the American Academy of Sleep Medicine (AASM), an innovative professional medical association located in Darien, IL, a southwest suburb of Chicago. We’re looking for someone to join our team as a Society Coordinator, in support of the Sleep Research Society (SRS), a specialty society managed by the AASM. Working with the executive director, you will collaborate with the Board of Directors (BOD) and various committees/task forces through quarterly BOD meetings, weekly conference calls, and daily communication, coordinate business travel logistics, promote industry specific products and events, and handle related administrative duties.
You will have at least two years of experience working for an association OR running committees at an organization. You have mastered juggling multiple priorities without letting anything fall, can take detailed notes at meetings, produce well written minutes and enjoy taking on the role as THE point person.
What You’ll Do
Provide support to the Board of Directors, committees and task forces including development of meeting agendas, meeting material preparation, conference calls, meeting minutes, follow-up actions and travel planning.
Prepare and facilitate award programs of the Society and Foundation, including contract preparation and monitoring.
Field phone calls and emails from members and the general public, determining appropriate response
Oversee the marketing and promotion of society products and events.
Oversee the annual election of officers and directors to ensure a seamless transition of leadership.
Plan and execute the annual membership recruitment campaigns in collaboration with the Membership Committee and Membership Department.
Collaborate with the Meeting Department to assist in the planning and promotion of the Annual Meeting, other meetings and courses. Attend and provide support at those meetings and courses.
Develop the agendas and scripts for special meetings at the Annual Meetings
Coordinate activities associated with any special events approved by the societies’ boards that may include event planning activities, inviting special guests and coordinating travel arrangements.
Develop and disseminate electronic newsletters to society members.
Maintain and update information on the society’s website on a regular basis
Assist SRS Executive Director and perform related duties and responsibilities as assigned.
5% travel is required with this position for board meetings and society sponsored events, which includes weekends.
What We Need
Associate degree desired, will accept a combination of education and prior work experience
Two years of association management experience or similar qualified experience running committees for another type of organization
Experience in developing agendas and related materials for meetings
Strong organizational and project management skills
Solid interpersonal acuity
Ability to work both independently and collaboratively while interacting professionally with staff and society members with minimal supervision
Strong written communication skills with an ability to write reports and business correspondence with clarity and precision
