JOB SUMMARY:The position supports the Executive Director and Associate Executive Director and requires the skills of an association professional with demonstrated experience handling a wide range of governance administration and executive support tasks. The position requires strong communication skills, proven attention to detail, a professional and positive attitude, and the ability to exercise a degree of independent decision-making necessary to manage sometimes competing priorities.
What are we looking for?
Supports key aspects of the ASCRS governance structure, volunteer recruitment and notifications and coordination for committees, subcommittees and task forces and work groups.
ASCRS Executive Council
Support the development of agenda materials, reports and supplemental materials for monthly Executive Council meetings.
Take minutes for the Executive Council (monthly), Executive Committee (6/yr.), and Finance and Management Committee (4/yr.).
Maintain compendium (manual) of Executive Council actions and procedures.
Track implementation of approved Executive Council actions.
Track progress on strategic plan.
Support the annual Council orientation process.
Assist with staffing the Nominating Committee and ensure timely completion of all nomination activities.
Staff the Honorary Fellowship Committee and manage the nomination, selection and notification processes.
Serve as staff liaison for a number of committees, task-forces and work groups, working directly with member chairs. Most committees meet 2x/yr., some more frequently.
Manage the annual committee appointment process; maintain descriptions, rosters and terms of service for the roughly 30 ASCRS committees.
Assist committees and work groups in communicating committee activities to the ASCRS Executive Council and Committee members.
Assist with the development and dissemination of committee member orientation manuals.
Manage the annual committee member evaluation process.
Maintain all governance lists in iMIS, on the online communities, and on website.
Assist with general records management and overall society administrative support.
Communications and Online Communities
Serve as staff administrative lead for the Executive Council online communities. Draft leadership communications in close coordination with Council leaders, the Executive Director, AED and Kellen departments as applicable.
Manage annual awards selection processes including notifications, announcements, and recognition. Maintain award data / information in iMIS, on the online communities, and on website. Work in conjunction with the Administrative Assistant to ensure the accuracy of awards and distribution during the Annual Scientific Meeting.
Contribute to development of the annual Society budget within assigned areas and provide advice/assistance to other committee staff.
Provide support for Society projects as assigned by the Executive Director and Associate Executive Director.
Am I qualified?
Five+ years of experience in a senior administrative position or 3+ years in a relevant association management position. Minimum of three (3) years of governance/executive support experience.
Previous experience working for a not-for-profit membership association, preferably a professional membership and/or health care related organization. Experience working for an association management company a plus.
Excellent organizational, analytical, and administrative skills and the ability to take a pro-active, self-directed approach to projects.
Strong computer skills including proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Hands-on experience with association management systems (familiarity with iMIS a plus). Writing for web. Experience with social media.
Thorough knowledge of general office procedures and practices.
Exceptional support skills, including the ability to and interest in responding to members, internal staff and others in a professional, knowledgeable, and friendly manner.
Excellent interpersonal, oral and written communication skills with attention to detail and the ability to prioritize and complete multiple tasks within established deadlines.
Ability to travel domestically approximately two weeks/year. Occasional international travel possible.
Ability to staff evening conference calls.
